To seek approval for the procurement of external venues services

The Authority awards a contract for External Venue Solutions for a 24 month period commencing March 2022 (with 1 x 12 month extension option).

Following a review of a detailed options appraisal, we were able to Direct Award to our chosen supplier using the newly released Crown Commercial Services Framework RM6127, Travel and Venue Solutions, Lot 4. This new agreement will be for 2 years (with 1 x 12 month extension option) giving us the time to work on putting our own NYCC Framework in place for external venues once the new Regulatory Reform and proposed flexibilities are in place.

Options considered included the following:
Extend existing agreement, which we could not compliantly do.
Utilise our Travel agreement supplier, adding External Venues to the existing contract. This was deemed not an acceptable option as this supplier did not support the smaller community venues that our existing supplier does.
Set up NYCC framework, but currently the PCRs 2015 does not meet need in relation to NYCC creating an open framework that allows new venues to be added during the framework period.
