Purpose:

To extend the Hard Facilities Management Services Contracts the following Contracts:

- Mechanical Equipment and Plant: Servicing and Responsive Maintenance
- Lifts: Servicing and Responsive Maintenance
- Automatic Doors: Inspection and Responsive Maintenance
- Chimneys, Lighting Conductors and other High Access Structures: Inspections and Maintenance
- Water Hygiene: Risk Assessment and Monitoring
- Fire Equipment: Inspection and Supply
- Asbestos Analysis
- Asbestos Abatement
- PE and External Play Equipment: Inspection and Minor Repair

Decision:

To extend the following Hard Facilities Management Services Contracts until the 31st March 2024:
- Mechanical Equipment and Plant: Servicing and Responsive Maintenance
- Lifts: Servicing and Responsive Maintenance
- Automatic Doors: Inspection and Responsive Maintenance
- Chimneys, Lighting Conductors and other High Access Structures: Inspections and Maintenance
- Water Hygiene: Risk Assessment and Monitoring
- Fire Equipment: Inspection and Supply
- PE and External Pay Equipment: Inspection and Minor Repair
- Asbestos Analysis
- Asbestos Abatement

Reasons for the decision:

A decision has been made to extend the following Hard Facilities Management Services Contracts until the 31st March 2024:
- Mechanical Equipment and Plant: Servicing and Responsive Maintenance
- Lifts: Servicing and Responsive Maintenance
- Automatic Doors: Inspection and Responsive Maintenance
- Chimneys, Lighting Conductors and other High Access Structures: Inspections and Maintenance
- Water Hygiene: Risk Assessment and Monitoring
- Fire Equipment: Inspection and Supply
- PE and External Pay Equipment: Inspection and Minor Repair
- Asbestos Analysis
- Asbestos Abatement

The decision has been made following a review of all options under a Gateway process. The high-level advantages include; that the contracts were competitively tendered through the approved open public procurement process with prices and rates fixed for the full term of the contracts (based on agreed annual price revision clauses) helping to offset any current market prices increases / risk, shorter process in extending over re-tendering from a resource and cost point of view, no potential break in service during changeover, ability to continue usage for traded services, maintaining positive relationship with current suppliers.
