Purpose:

Contract Extension for Hard Facilities Management General Building – Responsive Repairs

Decision:

To extend the Hard Facilities Management General Building Responsive Maintenance (including Alarms servicing and maintenance) contracts.

Reasons for the decision:

The current Hard Facilities Management Responsive Maintenance contracts established by the former County Council are due to expire at the end January 2025.

A decision has been made to extend the contracts until the 31st January 2026 and the Alarms servicing and maintenance element of the contract until the 31st March 2025 (to enable a procurement exercise and new contract to be in place for this element for the 1st April 2025 – with the Fire and Intruder Alarms procurement a key decision made on the 10th September 2024).

The decision has been made following a review of all options under a Gateway process. The high-level advantages include; that the contracts were competitively tendered through the approved open public procurement process with prices and rates fixed for the full term of the contracts (based on agreed annual price revision clauses) helping to offset any current market prices increases / risk, shorter process in extending over re-tendering from a resource and cost point of view, no potential break in service during changeover, ability to continue usage for traded services, maintaining positive relationship with current supplier.
